Automated Support Ticket System with Gmail, Trello, and Slack Notifications

1. Workflow Overview

This workflow automates the management of customer support emails by integrating Gmail, Trello, and Slack to create a streamlined ticketing and notification system. It targets small to medium-sized businesses and startups that want to improve customer support efficiency without investing in complex platforms.

Logical Blocks:

  • 1.1 Input Reception: Monitoring the Gmail support inbox for new incoming emails.
  • 1.2 Ticket Creation: Creating a new Trello card as a support ticket with the email details.
  • 1.3 Customer Confirmation: Sending an automatic confirmation email back to the customer.
  • 1.4 Support Team Notification: Sending a notification message to the support teams Slack channel.
  • 1.5 Documentation and Notes: Providing detailed workflow notes and explanation via sticky notes.

2. Block-by-Block Analysis

1.1 Input Reception

  • Overview:
Continuously monitors the designated Gmail inbox for new support requests, triggering the workflow each time a new email arrives.

  • Nodes Involved:

    • Watch Support Inbox
  • Node Details:

    • Watch Support Inbox
      • Type: Gmail Trigger
      • Role: Listens for new incoming emails in the support inbox.
      • Configuration: Polls every minute with no additional filters applied, capturing all new emails.
      • Expressions: None beyond default trigger settings.
      • Input: None (trigger node).
      • Output: Passes incoming email JSON data downstream.
      • Version: 1.2 (Gmail OAuth2 credential required).
      • Potential Failures: Authentication errors if Gmail OAuth2 token expires; rate limiting by Gmail API; no emails received if inbox or credentials misconfigured.

Converts the incoming email data into a new Trello card, effectively creating a support ticket in a predefined Trello list.

  • Nodes Involved:

    • Create New Support Ticket
  • Node Details:

    • Create New Support Ticket
      • Type: Trello node
      • Role: Creates a Trello card with the email sender, subject, and body mapped to the cards title and description.
      • Configuration:
        • Card Name: "New Support Request from {{ $json.from }}" (email senders address).
        • List ID: Must be replaced with the users Trello list ID for incoming tickets.
        • Description: Includes email subject and full body text.
      • Expressions: Uses mustache syntax to dynamically set card name and description from incoming email JSON data.
      • Input: Email JSON from Gmail trigger node.
      • Output: Provides Trello card creation response data.
      • Version: 1
      • Potential Failures: Incorrect Trello API credentials; invalid list ID; rate limiting or network failures.

1.3 Customer Confirmation

  • Overview:
Sends an automated reply email back to the customer acknowledging receipt of their support request.

  • Nodes Involved:

    • Send Automatic Confirmation
  • Node Details:

    • Send Automatic Confirmation
      • Type: Gmail node (send email)
      • Role: Sends a confirmation email to the original sender with a polite message and subject referencing the original email.
      • Configuration:
        • Recipient: Dynamically set to the original emails sender ("={{ $json.from }}").
        • Subject: "Re: {{ $json.subject }}" to maintain email thread continuity.
        • Message: Static confirmation text assuring receipt and forthcoming response.
      • Expressions: Mustache syntax to insert dynamic email fields.
      • Input: Data from Trello node (card creation output, but effectively passes original email data).
      • Output: Confirmation of email sent.
      • Version: 2.1 (Gmail OAuth2 credential).
      • Potential Failures: Gmail OAuth2 authentication failure; invalid recipient email; network issues.

1.4 Support Team Notification

  • Overview:
Sends a Slack message to notify the support team that a new ticket has been created, ensuring team awareness in real-time.

  • Nodes Involved:

    • Notify Support Team
  • Node Details:

    • Notify Support Team
      • Type: Slack node
      • Role: Posts a formatted notification message in a specified Slack channel.
      • Configuration:
        • Text: "New Support Ticket! A new ticket from {{ $json.from }} has been created in Trello."

      • Expressions: Uses mustache syntax for dynamic sender information.
      • Input: Confirmation email node output.
      • Output: Slack post response.
      • Version: 2.3 (Slack API credential).
      • Potential Failures: Slack authentication failure; invalid channel ID; API rate limits.

1.5 Documentation and Notes

  • Overview:
Contains detailed notes about the workflows purpose, target users, setup instructions, and scope for maintainers and users.

  • Nodes Involved:

    • Sticky Note
    • Sticky Note1
